Quick-Start Setup Guide - HR, L&D and Consulting Teams
This guide will get your team reporting on time in under 10 minutes. We’ve pre-selected the field setup that works best for HR, L&D, and consulting teams — so you don’t have to figure out the structure yourself. Just follow the steps.
What You’ll Have at the End of This Guide
TRP installed and connected to your Google Calendar
Custom Fields set up to track clients, project types, and billability
Your first calendar even tagged with real data
Your first Analytics report generated in Google Sheets
Step 1 — Install Time Reports Pro
Open Google Calendar in your browser and visit the TRP listing directly:
workspace.google.com/marketplace/app/time_reports_pro/956232481109
Or search “Time Reports Pro” in the Google Workspace Marketplace.
Click Install and grant the requested permissions
Once installed, TRP will appear as a sidebar panel in Google Calendar
Open the TRP sidebar and select which calendar to configure first
★ Tip: Start with your main work calendar. You can always add more calendars later from TRP settings.
Step 2 — Set Up Your Custom Fields
This is the most important step. Custom fields are what turn a plain calendar event into trackable, reportable data. The fields below are specifically chosen for HR, L&D, and consulting teams — use these as a starting point to get the most useful reports.
Once you’re going through the Setup Wizard, you will be prompted to setup custom fields.
(Note: to set this up post setup wizard In TRP: go to Settings → Custom Fields → Add Field. Create each field below in order.)
★ Tip: For Client and Project Type, add your real client names and project categories when setting up the dropdown options. The more specific these are, the more useful your reports will be.
Step 3 — Tag Your First Calendar Event
With the TRP sidebar open in Google Calendar:
Click on any existing calendar event — a client call, workshop, or advisory session works well
The TRP sidebar will show your custom fields for that event
Fill in Client, Project Type, and Billability
Save the event
Note: You don’t need to go back and tag every past event before running your first report. Tag a handful of recent events so you have something meaningful in the output. Going forward, tagging becomes a quick habit at the end of each call or session.
★ Tip: Tag at least 5–10 events before running your first report so the output is meaningful.
Step 4 — Run Your First Analytics Report
Every report is generated as a Google Sheet automatically — no exporting, no formatting. TRP uses an Analytics report type that lets you choose exactly which fields to include, so you’re building a report tailored to what you actually need.
To run your first report:
In TRP, select Report Type: Analytics
Set your date range — last 30 days is a good starting point
Under Fields, select the fields you want to report on such as: Client, Project Type, or Billability
Select the calendar you configured in Step 1
Click Generate Report — TRP will create a Google Sheet in your Drive automatically
★ Tip: Your first report may have limited data if you’ve only tagged a few events. That’s normal. The value compounds quickly as tagging becomes a habit.
